Privacy Policy

This Privacy Policy explains how Royal Wave Media, Inc. ("we," "us," or "our") collects, uses, stores, and protects information when you use Auditiono ("the Service"). We are committed to handling your data responsibly and transparently.

1. Information we collect

Account information. When you sign up, we collect your email address, first and last name, and a password (stored as a bcrypt hash — we never store your password in plain text). You may also tell us whether you signed up as a narrator, an author, or both; this is used to route you through the appropriate onboarding flow.

Narrator profile information (narrators only). If you create a narrator profile, you provide a display name, pronouns (optional), a one-line tagline, country and optional city or region, native language or accent, proficient accents, languages spoken, voice age ranges, voice presentation (optional and described below), heritage or identity for own-voices casting (optional and described below), genres, format preferences (multi-cast, dual-POV), studio details, union affiliations, compensation models and rate bands, a bio, training credits, and links you want to share publicly (personal website, Audible page, Libro.fm page, LinkedIn). You can also upload a headshot image and audio samples.

Audiobook credits (narrators only). You list books you have narrated, including title, author, year, role, and a verification URL. We attempt to capture a cover thumbnail from that URL, or you may upload one yourself.

Author profile and listings (author features — not yet active). When the author side of the Service launches, authors will provide information about their works and casting calls. This policy will be updated when those features become available.

Auditions. Narrators submit audio recordings to author casting calls. The casting record (who auditioned, when, the cover note, any quoted terms, the listing details, and shortlisting and selection timestamps) is retained indefinitely as part of the project record. Audio files for non-selected auditions are retained for up to twelve months after the casting call closes and then automatically deleted. Audio files for selected auditions are retained indefinitely as part of the project record. See Section 8 for full retention details.

Voice presentation (optional). Narrator profiles include an optional field describing how a narrator's voice tends to read to a listener (female or femme-presenting, male or masc-presenting, nonbinary or androgynous). It exists so authors casting for a particular voice can find narrators, and it describes a performance, not a person. It is optional, it is shown publicly on your profile when set, and you can change or clear it at any time. Where a narrator had already published pronouns on their profile, we filled this field in from them in August 2026 so the new search filter would not launch empty. Those inferred values are marked internally as unconfirmed, they are flagged as a guess on your own profile editing page, and saving your profile (with any value, or none) replaces the guess with your own answer.

Heritage and identity data (sensitive, optional). Narrator profiles include an optional field for heritage or identity, used for own-voices casting. This data is sensitive. We treat it as such: it is optional in every case, you choose what (if anything) to disclose, and "Prefer not to say" is always available. Sharing this data is your decision and you can change or remove it at any time.

Verification information. When you submit a narrator profile for verification, we review the information you provided (samples, credits, profile fields) to confirm it meets our standards. We may store a brief internal note about that review.

Sleuthy cross-property identifier. Auditiono is part of the Royal Wave Media family alongside Sleuthy. If you choose to use the Sleuthy easy-door onboarding (when that feature ships), we store a cross-property identifier that links your Sleuthy account to your Auditiono account. This linkage is opt-in and can be severed.

Email engagement data. We use Mailgun to send transactional email. Mailgun reports back to us whether emails were delivered, opened, clicked, bounced, or marked as spam. We store these events to debug delivery issues, suppress sending to addresses that have bounced, and respect unsubscribe requests.

Usage data. We log actions within the Service (signups, profile saves, sample uploads, submissions for verification, etc.) for audit and debugging purposes. We do not use third-party analytics or tracking services. We do not track you across other websites.

2. How we use your information

We do not sell, rent, or share your personal information or individually identifiable account data with third parties for marketing or advertising purposes. We will never send you marketing emails without your explicit consent.

Auditiono is partly a public discovery surface. When you create a verified narrator profile, the following fields render publicly at your profile URL (auditiono.com/narrator/<your-slug>) so authors can find you:

Author-narrator contact during the audition and casting flows (when those features ship) will be mediated through the platform. We do not expose your login email or phone number to authors directly.

Profiles that have not yet been verified, or that are hidden or suspended, do not render publicly — their profile URLs return a "not found" response.

Auditiono uses session cookies only. A session cookie is set when you log in to keep you authenticated as you navigate the Service. This cookie expires when you log out or after a period of inactivity. We do not use advertising cookies, tracking cookies, or third-party cookie services.

6. Data storage and security

Your account data is stored in a MySQL database on servers provided by SiteGround. Your headshot image, audio samples, and credit cover thumbnails are stored on Backblaze B2 with private access controls. All data is transmitted over HTTPS (encrypted in transit). Passwords are hashed with bcrypt. Database access is restricted to authorized personnel and application processes.

We use application-level access controls designed to ensure that users can access only data associated with their own account. Every database query is scoped to the authenticated user's ID. While no system can guarantee absolute security, we implement commercially reasonable administrative, technical, and physical safeguards to protect your data.

Breach notification. In the event of a data breach affecting your personal information, we will notify affected users as required by applicable law. Where appropriate, we will also provide information about what occurred and steps you can take to protect yourself.

7. Aggregated and de-identified data

We may use data from across the Service to compile de-identified, aggregated statistics about the audiobook narration industry — for example, distributions of accents and languages narrators offer, rate-band distributions, or genre demand trends. Before any such use, data is processed using measures reasonably designed to prevent re-identification, so that no individual narrator, author, listing, or audition can be identified.

We may publish these de-identified statistics in industry reports, blog posts, or other content. We will not publish or disclose aggregated data where a small sample size, niche category, or other contextual factor could reasonably permit reverse engineering of a specific user's information. We apply internal disclosure controls before any publication of aggregated statistics.

Aggregated data is statistical in nature. Your individual account data, profile fields, audio samples, credits, and submitted auditions are never shared, disclosed, or made available to anyone outside of your account — except as required to operate the Service (e.g., to render your verified public profile at the URL you share, or to deliver your audition to the author who posted the listing).

If you are located in the European Economic Area (EEA) or the United Kingdom (UK), the following additional information applies to you.

Legal bases for processing. We process your personal data on the following legal bases: (a) contract necessity — to provide and operate the Service as described in our Terms of Service; (b) legitimate interests — to maintain security, prevent fraud, improve the Service, and compile de-identified aggregated statistics, where those interests are not overridden by your rights; and (c) consent — where we rely on consent for specific processing activities (including disclosure of heritage or identity data, and any optional marketing communications), which you may withdraw at any time.

International transfers. Your data is stored and processed in the United States. By using the Service, you acknowledge that your data will be transferred to the United States. We rely on standard contractual clauses or other lawful transfer mechanisms as required by applicable data protection law to safeguard your data during international transfers.

Your rights. In addition to the rights listed in Section 9 above, you have the right to request restriction of processing, the right to data portability, and the right to object to processing based on legitimate interests. You also have the right to lodge a complaint with your local data protection supervisory authority.

Auditiono is not intended for use by individuals under 18 years of age. We do not knowingly collect personal information from children. If you believe a child has created an account, please contact us and we will delete it promptly.

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or by posting a notice within the Service. The "Last updated" date at the top of this page indicates when the policy was last revised.
